Terms & Conditions

These Terms & Conditions outline the agreement between you (the client or visitor to this website) and Tamara Coughlan regarding the use of this website, booking of services, and participation in psychotherapy sessions or retreats. By using this website or engaging in services, you acknowledge that you have read, understood, and agree to these terms. If you have any questions or concerns, please reach out before proceeding with bookings or payments.

Terms & Conditions

These Terms & Conditions apply to services provided by Tamara Coughlan, including psychotherapy, occupational therapy where applicable, EMDR, psychedelic preparation and integration support, workshops and retreats.

By booking or participating in a service, you acknowledge and agree to the terms outlined below.

Professional Practice

Tamara Coughlan is an AHPRA registered Occupational Therapist and PACFA registered psychotherapist.

Services are provided within Tamara's professional training, competence and scope of practice. Psychotherapy and occupational therapy may overlap within Tamara's practice; however, they remain distinct professional frameworks.

Where occupational therapy services are provided, assessment and intervention may consider the relationship between mental health, daily functioning, participation, roles, routines, environment and meaningful occupation. Where a client's needs fall outside Tamara's scope of practice or competence, referral to another appropriate health professional or service may be recommended.

Therapy does not guarantee a particular outcome and is not a substitute for emergency, medical or psychiatric care where this is required.

Tamara's practice is not a crisis service. If you require urgent mental health or medical assistance, please contact an appropriate crisis or emergency service.

Bookings & Fees

Current session types, durations and fees are displayed at the time of booking.

Payment is processed securely through Square unless another arrangement has been agreed in advance.

Fees may change from time to time. Any changes affecting existing clients will be communicated in advance where appropriate.

Cancellation & No Show Policy

At least 24 hours' notice is required to cancel or reschedule an individual therapy appointment. Cancellations made within 24 hours of the appointment, and appointments that are missed without notice, are charged at the full session fee. I understand that unexpected circumstances can arise and encourage clients to contact me as soon as possible if something prevents them from attending.

Retreats, workshops and other events may have separate cancellation and refund conditions. These will be communicated at the time of booking. If I need to cancel a session, clients will be offered an alternative appointment or a refund where payment has already been made.

Therapy & Informed Consent

Therapy is a collaborative process and may involve exploring difficult emotions, memories, bodily sensations, relationships or life experiences.

You are always welcome to ask questions about the therapeutic process. You may pause or decline a suggested therapeutic intervention or practice and may choose to discontinue therapy at any time.

No particular therapeutic outcome can be guaranteed. Where EMDR, somatic practices, meditation or other specific therapeutic approaches are considered, these will be used according to individual needs, clinical judgement, consent and Tamara's scope of practice and training.

Psychedelic Preparation & Integration

Tamara provides psychotherapy that may include preparation for and integration of psychedelic or other non ordinary state experiences where this is appropriate. Tamara does not prescribe, supply or administer psychedelic substances. These services do not constitute medical advice regarding the use of psychedelic medicines and do not facilitate access to substances outside lawful healthcare pathways.

Confidentiality

Your privacy and confidentiality are important parts of the therapeutic relationship. Information shared in therapy is treated confidentially and managed in accordance with applicable professional, ethical and legal obligations. There are circumstances where information may need to be disclosed without consent, including where disclosure is required or authorised by law or where there are serious concerns regarding safety. Where appropriate and lawful, I will seek to discuss this with you. Information may also be shared with another professional or service where you have provided consent or where otherwise permitted or required by law.

Clinical Records

Appropriate clinical records are maintained as part of professional practice. Records are stored securely and retained in accordance with applicable professional and legal requirements. Clients may request access to their health information or correction of information they believe is inaccurate. These requests will be managed in accordance with applicable privacy and health records legislation.

Communication

Email and text messaging may be used for practical communication such as appointments, scheduling and administrative matters.

These forms of communication may not provide the same level of privacy as the therapeutic setting and should generally not be used for urgent or extensive clinical communication. I do not provide therapy or discuss individual client matters through social media.

Telehealth

Telehealth sessions require clients to have access to a reasonably private environment and reliable internet connection.

While reasonable measures are taken to protect privacy, electronic communication and videoconferencing carry inherent privacy and technology risks. If a significant technical problem prevents a session from proceeding, we will discuss an appropriate alternative.

Workshops & Retreats

Workshops and retreats may involve practices such as meditation, movement, yoga, reflective exercises or group discussion.

Participation in individual practices is voluntary. Participants are encouraged to consider their own physical and psychological needs and to advise Tamara of relevant concerns before participating. Specific terms, inclusions and cancellation arrangements may apply to individual events and will be provided at the time of booking.

Complaints & Concerns

I welcome clients raising concerns about their experience of therapy directly with me where they feel comfortable doing so.

As a registered Occupational Therapist, my practice is subject to the professional standards and regulatory requirements applying to registered health practitioners. As a PACFA registered psychotherapist, my psychotherapy practice is also subject to PACFA's professional and ethical standards.

Clients may make a complaint about psychotherapy services through PACFA where applicable. Clients also retain the right to raise concerns with an appropriate health complaints or regulatory body, including the Health Care Complaints Commission in NSW or AHPRA where relevant.

Raising a concern or making a complaint will not adversely affect your access to appropriate care.

Changes to These Terms

These Terms & Conditions may be updated from time to time to reflect changes in my practice, professional obligations or applicable requirements.

 

Privacy Policy

Your privacy is important to me. This policy explains generally how personal and health information is collected, used and managed within my practice.

 
Information I May Collect

Depending on how you interact with the practice, I may collect information including:

• your name and contact details
• appointment and booking information
• information provided through intake or consent forms
• relevant health and personal information
• correspondence with the practice
• clinical notes and other health records
• information required for invoicing and payment administration.

Only information reasonably required to provide and manage services is collected.

 
How Information Is Used

Information may be used to:

• provide psychotherapy, occupational therapy and related services
• assess whether a service is appropriate for your needs
• communicate with you regarding appointments and your care
• maintain appropriate clinical records
• process payments and administer the practice
• meet professional, ethical, insurance and legal obligations.

Information will not ordinarily be used for an unrelated purpose without your consent unless permitted or required by law.

 
Storage & Security

Reasonable steps are taken to protect personal and health information from loss, misuse, unauthorised access, modification or disclosure.

Different systems may be used for website administration, bookings, payments and clinical records.

Payments are processed through Square. Payment card information is handled through the relevant payment processing systems rather than being recorded in psychotherapy or occupational therapy clinical notes.

Clinical records are stored separately from the public website and are subject to appropriate security and record keeping requirements.

Retention of Health Records

Health information and clinical records are retained for the periods required by applicable NSW law and professional obligations.

Because health practitioners have legal record keeping obligations, it may not always be possible to delete a clinical record when requested.

 
Access & Correction

You may request access to health information held about you or ask for information that is inaccurate or incomplete to be corrected.

Requests can be made by contacting Tamara directly.

Requests will be considered and managed in accordance with applicable NSW privacy and health records legislation.

 
Disclosure of Information

Personal and health information is not routinely disclosed to third parties without consent.

Information may be disclosed where:

• you have provided consent
• disclosure is reasonably necessary for the provision of your care and is permitted by law
• disclosure is required or authorised by law
• there is another lawful basis for disclosure relating to safety or professional obligations.

Where possible and appropriate, I will discuss disclosure with you.

 
Website, Cookies & Analytics

This website is hosted through Wix and may use cookies and website analytics to support website functionality and understand how the site is used.

You can manage cookies through your browser and, where available, the website's cookie preferences.

Information submitted through website forms should be limited to what is reasonably necessary for your enquiry.

 
Third Party Services

The practice uses third party providers for functions such as website hosting, booking, communication and payment processing.

These providers have their own privacy and security practices. Reasonable care is taken in selecting services used to manage personal information.

 
Privacy Questions or Concerns

If you have a question or concern about how your personal or health information has been handled, please contact Tamara Coughlan directly in the first instance.

Where applicable, you also have rights to raise privacy or professional concerns with relevant external regulatory or complaints bodies.
